Your staff already use AI, with or without rules. AI governance means knowing which tools are used and with what data, then setting a clear framework: an AI usage policy people understand, protection against data leaks and targeted training. We also help you prepare for AI Act obligations, including AI literacy (Article 4), in line with the GDPR.

Who it is for

  • Owners and board members responsible for risk
  • DPOs, IT or compliance managers
  • SMEs where AI use has spread without a framework
  • Non-profits and organisations handling sensitive data

What you get

  • Inventory of AI tools in use and the data involved
  • AI usage policy tailored to your business, ready to share
  • DLP rules and settings in Microsoft 365 or Google Workspace
  • Team training with a certificate of attendance
  • AI use register and prioritised action plan

How it runs

  1. 1

    Current state

Survey and interviews to identify the AI tools in use, official or not, and the data flowing into them.

  2. 2

    Risk analysis

Review of uses against the GDPR and the AI Act risk levels, without jargon: what is allowed, what needs a framework, what to avoid.

  3. 3

    Writing the AI policy

A short, practical policy: approved tools, forbidden data, human review, responsibilities. Written with you, not copied from a template.

  4. 4

    Technical measures

Configuring the protections your tools already offer: sensitivity labels, DLP rules, business accounts, logging.

  5. 5

    Team training

A hands-on session on good habits: what to hand to AI, what to check, and what never to paste into a tool.

  6. 6

    Follow-up

AI use register and action plan, with a review to schedule at regular intervals.

Formats

  • 2 days: AI policy and awareness session
  • 6 days: full governance with DLP measures and register
  • On-site or remote
  • Training sessions of up to 15 people

Prerequisites : A sponsor in management and an IT contact, in-house or external, for the technical settings.

Frequently asked questions

Does the AI Act really apply to an SME?

Yes, as soon as you use AI systems in your business. Article 4 (supporting staff AI literacy) already applies, and other obligations depend on the risk level of your uses. We help you see clearly, without replacing legal advice.

Is a policy enough?

No. Without training and technical measures, a policy stays on paper. That is why we combine written rules, tool configuration and hands-on sessions.

Should we ban consumer chatbots?

Rarely. Bans tend to push use underground. It works better to offer managed business tools and clear rules about data.
